On the Keepa platform, a Tenant is defined as a business entity that, using Keepa's credit infrastructure, can offer credit products such as Loans, Lines of Credit, BNPL, and others to its applicants. Two main service modules are essential to this process:
- Credit Granting Process – deciding who gets credit, how much, and on what terms.
- Collateral – handling pledged assets like cheques, promissory notes, or property as guarantees for repayment.
My Role
I owned this project together with two PMs and collaborated with another designer, Alireza, on the overall design scope.
Problem & Requirements
Day-to-day operations revealed the following gaps that we had to solve:
- Inefficient cheque review – Admins had to manually verify 13 parameters for each cheque, taking ~4 minutes per cheque, which was too long for daily workloads.
- UI limitations – Cheques were mixed with other documents, and comparing images with parameters required constant scrolling or downloads. This made the task slow and error-prone.
- Multi-stage requirement – Tenants needed a process to (1) verify the cheque image, (2) notify the applicant to send the physical cheque only after image approval, and (3) finally validate the Sayadi code.
- Settlement Cheque requirement – Tenants needed the option to register and process settlement cheques, which was not available on the platform.
In short: Tenants faced high operational costs and unmet requirements, while applicants experienced friction and uncertainty.

Solution Snapshot
Key changes that addressed the requirements:
- Streamlined review flow → fewer actions and clearer separation, allowing admins to review cheques in <1 minute.
- Dedicated cheque status → collateral cheques reviewed independently from other documents.
- Three-stage status flow → image check → physical cheque → Sayadi code, with clear applicant instructions at each step.
- Aligned portal ↔ app statuses → applicants immediately saw image approval and the next action (“Your cheque image is approved. Please send the physical cheque to the company address.”).
- Settlement Cheque feature → added to both portal and app to fulfill a core Tenant requirement.


Outcome & Impact
Results we measured qualitatively with pilot tenants:
- Efficiency: Review time cut from ~4 minutes to <1 minute per cheque (~67% faster).
- Usability: Admins spent less time scrolling or downloading; tasks became clearer and less error-prone.
- Process clarity: Multi-stage flow reduced applicant mistakes and unnecessary resubmissions.
- Consistency: Unified status definitions between portal and app reduced applicant confusion and lowered support calls.
